What a proforma invoice is
A quote proposes a price. A proforma presents proposed goods, prices and payment terms in invoice format before the final invoice. A commercial invoice records a sale and may be needed for customs. Choose the document your buyer or carrier requires.
A proforma can support an advance-payment request, but it is not proof of payment or a tax invoice. Any final invoice must meet the requirements that apply to your business; downloading a PDF does not establish tax compliance.
For export arrangements, add the agreed Incoterm and delivery point, estimated shipping date, weights and dimensions in Notes or Terms. Confirm required documents and details with your buyer or carrier. This tool does not validate customs requirements or replace a required commercial invoice.
Example: requesting an advance payment
Illustrative order: 10 sample kits at USD 25 each, plus USD 20 shipping, with no tax or discount entered: total USD 270. In Terms, write “50% advance payment (USD 135); remaining USD 135 before shipment.” Add the agreed delivery date and bank details. Leave Amount paid at zero until payment is actually received; an expected deposit is not a received payment.
